In 15 minutes you will go all the way from sign-up to the first answer to a customer. You can return to any step and change it later, so start with the minimum and add settings as you go.
Step 1. Create a business
- Sign in or sign up on the sign-in page.
- Click “Create a business”.
- Fill in “Business name” and “What it does”. Describe in one or two sentences what you do for customers, for example: “We repair bicycles and help customers choose spare parts”.
- Click “Create a business”.
The time zone is set automatically. You can check it later in the business profile.
Step 2. Choose a task for your AI employee
Once the business is created, you will see the question “What task will we assign to the AI employee?”. Choose one task:
- “Answer questions” — tell customers about the business, its services and prices using your information;
- “Handle requests” — help customers and pass questions on to your team;
- “Book services” — help customers pick one of your services and a suitable time.
The platform suggests a suitable task based on the business description. Click “Create an AI employee”. You can change the task, name and settings later.
Step 3. Add information about your business
Your AI employee answers using the information you have added and confirmed. The more complete the information, the more accurate the answers. After the employee is created, the page “Let's add information for replies” opens. Choose the way that suits you:
- “Add text” — describe your services, prices and terms, then click “Confirm details”;
- “Upload document” — a price list, menu or answers to questions, up to five files of up to 10 MB each. Click “Upload and extract”. Processing usually takes a few minutes;
- “Import website information” — if the business has a website.
The information you have already saved is enough for the first answer. You can add more later in the “Knowledge base” and “Documents” sections, or with the “Setup assistant” assistant. When you are ready, click “Try as a client”. For details, see Knowledge base and Uploading documents.
Step 4. Check the answers
The test chat “Test replies” opens. This is a test chat; customers do not see it.
- Write a question the way a customer would ask it, or click one of the sample questions in the empty chat.
- Read the answer.
- If the answer is inaccurate, click “Correct answer” below it and describe how it should answer.
After you change the information, ask the question again and make sure the answer has become more accurate. For details, see Checking answers in the test chat.
Step 5. Connect your AI employee to customers
- Open “AI employees” and select the employee.
- Go to the “Channels” tab.
- Click “Connect to clients”.
- In the “Where customers will message you” field, choose:
- “ReceptionWorks chat page” — a ready-made chat page whose link you can send to customers;
- “Chat on my website” — a chat window on your website. Enter the website address.
- In the “Who responds to clients” field, choose a mode. You can change it later on the “Communication” tab. For details, see Who replies to customers.
- Click “Confirm connection”.
To add the chat to your website, click “Prepare code” on the same tab, copy the code and paste it in your website editor. For details, see Website chat and Connecting Telegram.
Step 6. Keep track of conversations
All conversations with customers are collected in the “Inbox” section. When your AI employee passes a question to your team, the conversation appears in the “Need someone” queue. Click “Take conversation” to reply yourself. For details, see Messages.
